Position Title	Office Clerk
Reports To:	Controller / HR Manager

 

Position Summary

This full-time position (40 hours/week) provides administrative support for Accounting and Human Resource functions as well as backup support for the Office Administrator. Answers non-routine correspondence and assembles highly confidential and sensitive information. Independent judgement is required to plan, prioritize, and organize diversified workloads. 

Essential Functions/Position Responsibilities

• Works independently and within a team on special projects for accounting and human resources
• Accounts Payable approval process, invoice prep, and check runs
• Post A/R payments
• Various reconciliations
• Backup company payroll
• Human Resources backup – various tasks and company mailings
• Accounting backup – various reports, month end closing tasks, billing
• Office Administrator backup – certificate of insurance tracking, docusign, RFP creation, AIA documents, project document mgmt., various tracking logs & spreadsheets
• Primary person to answer phones, in a courteous manner, takes messages, fields all routine and non-routine questions
• Handle sensitive information in a confidential manner

 

Supervisory Responsibilities

This position has no supervisory responsibilities.

Hiring Requirements/Preferences

 

• High School diploma or equivalent
• Timesheet processing and Payroll experience preferred
• Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, and Excel
• Ability to analyze and revise operating practices to improve efficiency
• Detail-oriented & exceptional communication skills
• Strong organization skills and dedication to completing projects in a timely manner
• Excellent time management skills and ability to multi-task and prioritize work
• Valid driver’s license and means of transportation
